A new tool that I am using with my property management team for 2017 is a site called Trello. I needed a way to connect with my remote team members and track projects that have multiple steps to them. Trello is a free tool that allows you to create boards based on different projects that you can share with other users. Here is a quick review I found on YouTube: (updated 2020)
For my property management team, I have created a team within Trello and then invited each of them to join (It is currently a free service). I then created a board for each of the buildings or facilities that we manage. Inside each board, I create a list related to a certain topic or project that we need to focus on.
For example: In one of my buildings we are in the process of rebidding our janitorial contract. I created a list related to this and then added a card for each of the vendors we have asked to bid. On each card my team is able to add a comment on whether or not the vendor has seen the property, their comments during the tour, reference checks, and whether or not their bid has been received. I have found this to be a great tool because all of my team members can see what step of the process we are on. I can also get a good birds-eye view of all of the projects and see which are progressing and which I need to push along.
If there is a project or a building I feel I like need to keep a close eye on, I can subscribe to it and receive email updates every time something is added or changed. There is also a Trello app that can provide notifications on your phone (they also pop up on my apple watch).
I also use Trello for a personal time management tool. I have a to do board where each evening I take five minutes to sit down and create my to do list for the following day. This is one of my Property Manager Time Management tricks that you can find in this post.
